Pluma - Workflow Optimization
Reducing user effort by simplifying complex workflows
Brief context.
As Pluma expanded, users began relying on the product more frequently. Over time, workflows that were originally flexible became increasingly complex.
Frequent tasks required too many steps, users had to remember system rules, and similar actions behaved inconsistently across screens.
I led UX design for this initiative, focusing on simplifying workflows, standardizing interaction patterns, and balancing efficiency with flexibility.
Impact at a glance
• Reduced user effort for frequent tasks
• Improved learnability for new users
• Introduced scalable workflow patterns across the product
Design Approach
I approached this project by identifying where users were spending the most time and effort during frequent tasks. Reviewing existing flows and usability feedback revealed that complexity had accumulated over time as new features were added.
Rather than redesigning everything, I focused on simplifying the most common workflows first—reducing steps, clarifying system rules, and making interactions more predictable through consistent patterns.
Solution
The solution focused on streamlining frequent workflows while preserving flexibility for advanced use cases.
Key changes included consolidating multi-step actions into clearer paths, standardizing interaction patterns across screens, and improving system feedback so users didn’t have to remember hidden rules or edge cases.
These changes reduced decision fatigue and made the product feel more intuitive, especially for users performing the same tasks repeatedly.
Outcome
The updated workflows reduced user effort for common tasks, improved learnability for new users, and created more consistent interaction patterns across the product.
By simplifying how frequent actions worked, the experience became faster, easier to understand, and more scalable as new features were introduced.
Reflection
This project reinforced that efficiency comes from clarity, not shortcuts. Making system behavior predictable had a greater impact than adding new capabilities, especially for users who rely on the product daily.
